Officer Responsibilities

The club is run at a democratic level.  Each year a president, vice president, secretary, treasurer, ACHA representative, WHAM representative, are elected to oversee and maintain the inner workings of the club.  The officers put in a lot of hours to keep the club running at an outstanding level.  They work with the budget, ordering equipment, sweatshirts and jackets, club rules and regulations, fundraising, tournaments, and scheduling.  

President:   Presides over Club meetings and serves on the chair of the Executive Committee.  The president acts as an official representative of the club at all meetings and events.  The president insures compliance of the club and club officers in following university and government policies and regulations.  The president is responsible for scheduling ACHA home and away games along with club practice times.  The president keeps inventory and ensures that the club has all equipment and accessories necessary for practice and games.  In the absence of the treasurer, the president oversees monetary disbursements and handles financial transactions.  

Vice President:   Understands the president’s duties and helps carry them out.  In the event the president cannot carry out her term, the vice president will succeed the president.  The vice president works with the secretary on tournaments and fundraising.  The vice president acts as the travel representative for the team by contacting hotels, reserving vans, and completing a travel roster for each away game.  The vice president is responsible for scheduling referees for all ACHA home games.

Treasurer:   Coordinates all financial transactions.  The treasurer maintains thorough and accurate records of all transactions and produces financial reports as required by the club.  The treasurer prepares reports and submits audits as required by the Student Organization Finance Division.  The treasurer works with the president in preparing the annual budget and attends monthly meetings with the Sports Club Office.  The treasurer is responsible for getting referee checks and paying league fees.  The treasurer knows the financial status of the club at all times and verifies that there is enough money for travel and any other club purchases.  The treasurer is responsible for collecting dues and hotel fees from every member.

ACHA Representative:   Acts on behalf of the club in correspondence with the ACHA. The ACHA representative must have regular access to the internet.  The ACHA representative submits the roster appropriate forms along with scores to the ACHA.  The ACHA representative is responsible that the ACHA team is following league rules and regulations.

WHAM Representative:   Acts on behalf of the club in correspondence with the WHAM.  The WHAM representative must attend the WHAM fall and spring team meeting, schedule games with other league teams, maintain contact with the division coordinator, and submit and update roster information.  The WHAM coordinator is responsible for submitting score sheets to the league.

 

Most of the work occurs at the end of the summer and at the beginning of the fall semester.  Club Sports requires training for officers; such as treasurer, travel officer and safety officer training.  The more time the officers put into the club, the more people will join, the more competitive the club will be with more games, and larger the budget will be.
