• Position updates (15)
o TCAR Potluck, location still TBD. Sometime between 12 and 1
o Sunday, Night Market at McCallester. 7 PM
o Hosting an event with MPAC on May 7th bringing in Sideswipe. They’re taking care of everything except food. Subway and pop.
o Hug Day May 4th. Stress free Hug Day.
• 30th Annual ASU Spring Conference – Reflections (20)
o There seemed to be an overall lack of cohesion in sharing ideas and what was going on.
o For next year, especially for the workshops, the entire board needs to discuss all together the ideas, and what needs to happen throughout the week. From there, the committees can take action of executing the plans.
o Committees are important, but we need to unify the actual planning of the events.
o Use the white boards in ASU, constantly update it, so that everyone knows what each committee is up to, and how the planning is coming along.
o Each committee should have a chair, and after each chair has a chair committee meeting after board meetings, to share important details and such.
o Education
It was good to have a person responsible for certain day
Food was pretty overwhelming, based on last year’s estimates
Need to come up with a process up front of how to allocate the food…one idea, tickets for those that show up on time?
JSA collaboration was good, we should do more of that with other groups
Education to PR communication needs to be stronger
Education needs 5 people, one per day to take care of each daily tasks
Logistics and education also need to work closer to work out details
o PR
We need to remember that the banquet needs to be emphasized on the fliers
We should determine the acts much ahead of time
Tell everyone you know!
Start planning earlier, need to be able to plan simultaneously such as with Gala and SC.
Contac tables were pretty effective; you need people who are capable of stepping out of the comfort zone.
o Programming
It was really great to have almost all of our affiliates represented in the show
Brought a lot of different cultures to the show, should be encouraged for the future
Saying good bye to the fashion show was really good.
Tell people leaving what they’re going to miss if they try to leave early!
If we struggle to find comedians, we could potentially cut that out, because we need someone people have heard of.
o Logistics
There was a lot of food leftover
We need to consider that the Coffman food person were to come check by, we have a plan of what we’re going to say.
One person needs to be in charge of food the entire night.
Brief the board ahead of time of what is going to be served
o Video updates
It was good to have the video as an opener
It would be good for the person who is editing to have the scripts ahead of time to put it all together

• Movie Night – updates (5)
o Talking about combining it with movie night, they’ll get back by Saturday
