• Event reflections (how did it go, what went well, what could be improved, etc.)
o Activities Fair
Lots of people there, filled out two sheets of the listserv
Too many of us out there at times, it seemed like we were blocking people/traffic
Claiming the table was easy, first group to arrive
o Lantern painting
Was really packed, bigger room next year? Room 303 or 325?
Better communication w/VSAM would have made the start of it go a lot smoother
Need to have contacts with VSAM people, so you can make phone calls if necessary
Having someone go around and show a lantern was effective in that we got more of a diverse crowd to come, because it pulled people in
o Game night
Hard to keep people there, because other groups had their respective events as well
Provide with some kind of food at least, drinks or snacks of some sort?
Need to be careful about being rude to others, for example when we go and ask people to sign in
Better set-up plan
• Kick off (recap of event, last minute planning, etc.)
o Karaoke night – Friday September 26, 730-10PM, Mississippi Room
o Food – Irene Wong
300 wings, 200 cheese puffs, 100 potstickers, 1 tray lo mein, 1 tray eggplant/pork, 1 tray tofu, 2 white rice $540 Ordering more chicken wings and cheese puffs and 1 tray chicken broccoli
o Logistics – Irene Tran
Food permit lady called, but has not gotten back to Irene

Talk to Coffman about getting a big screen to hook-up the machines to

Irene & Joe meeting with AV tech guy on Friday before the event

Have a competition of some sort for prizes?

Make a list for sign-up for singing, with breaks put into it
Meky, David, Ellyn, Vanessa and Joe and Irene Tran committee for finishing up the logistics of the sign-up sheets and prizes and what not

Drinks: just water, get 200 16 oz water bottles ( packs of water)
Kha picking up the food at 7 PM
We need to buy napkins and cups and silverware (Amy stopping at Costco before the event) 1 box of forks, based on how many we have in ASU
Cut the board meeting to Sunday if the GA meeting runs really long, cut everything off by 6:45 so we can prepare/set up for the event
• Halloween Social
o October 24
o Location: President’s Room starting at 7pm
Mississippi Room not available until 8pm
Look into booking it on the Saturday the 25th, to give ample time to set up
Any ideas for the event, email/talk to Ellyn
Andy/Ellyn will talk about committees, and next week people can sign up for committees for planning
Will notify by Monday afternoon what room we can get
• Event Idea – Kevin
o Mu Daiko at the Ritz ’08?
o Kevin will check into group rates?
o May not be the best idea to bring them here, because when we had them for Spring Conference, people talked through the entire performance
o We should ask around in ASU how many people would go if we hosted a show here, or how many people would go if we went to see it
• ASU laptop and Computers
o There is a lot of “stuff” on all of the computers, people don’t delete what they put on there
o Fix the accounts on the desktops, because both of the accounts are currently admin accounts
o Fix the print anywhere, so that people can print through the desktops, and it has to be approved at the laptop
o Talk to GA about our printing rules
o Jimmy has a router he brought that he’ll set up soon
• ASU
o Doing a mid-semester check up with Andy and Irene
o Revisit goals and expectations
o Look for an email w/sign up information
• Meky: creating a survey form to leave in ASU for people to leave feedback about things such as our quiet hours, as well as about our events
• Office Hours: Attend them! They are important, if you can’t go to them, please find someone to go for you
o Get back to Nehal ASAP so we can have a final updated version of the office hours
o Email all board members to remind them of it
o HMSA: Jimmy talked to HMSA president, the president will send someone to our GA meeting Friday, and they will decide after that if they will become an official affiliate out ASU
• GA meetings: should hold the GA meetings in the ASU room, because that way there are enough chairs and what not
o Get GA involved by asking them about our event planning at the GA meetings, so they can get involved, and we have ideas and solutions for our problems
o Write in ASU on the board what our GA meeting will cover for that week
o When we talk to them, make sure we are addressing everyone, instead of those just at the table or in close proximity
o Jimmy come up with a better plan on how to set-up the room, so the meetings can run more smoothly
• Office: we need to enforce our rules, no making exceptions
• Check out anysoldier.com to learn more about the project bring up to GA to see what they think. If they like it, focus on early October/November
• MAASU: membership fee $75 Nov 14-16
• Meky and David can attend tomorrow’s 3-4 CCC meeting in the President’s Room
