ASU Board Fall Retreat
Aug. 23-25 2008
I. Read aloud and go over the details of the ASU Constitution and by-laws
a. Must amend Article 7. Dissolving of the Constitution, due to a section about Cultural Grants
b. Amended Title 1. General Assembly Operation of the Bylaws. (Please see posted Constitution and Bylaws.)
c. Amended Title 6. Advisor if the Bylaws. (Please see posted Constitution and Bylaws.)
II. Discussed personal Expectations of each board member, as well as personal and organizational goals for ASU.
a. The board took the time to discuss for each individual position what he/she expected of themselves for the position, and then asked for input of what the others thought.
b. Ideas mentioned at this time for ASU goals included: *more outreach, at least 2 volunteer activities a semester *perhaps a charity event? *small gatherings of ASU members with 1st generation Asians in the community.
III. Short Term Goals for the Year:
a. Education events start to have more events
b. More efficient event planning
c. Stronger ties w/affiliates
d. Set rules early and stick with them
e. Have all board members follow these rules (maintain enforcement)
f. Keep the room clean
i. Create a “to toss” bin
ii. Weekly clean up after the meeting, using a general checklist (to be created by Jimmy)
g. Target new students better
IV. Long Term Goals for the Year:
a. Increase membership; more new faces at our events, as opposed to the same group of people each time
b. Increase funding, outside of the Student Service Fees. This allows us to reach out to the community better
c. Work to have more general members involved. Find ways to have them help with events more ,and be a part of the events as a whole
V. Discussed Events for the Year
a. New suggestion from Irene Tran: Any Soldier Volunteering
b. Determined Kick-Off Event Dates:
i. Monday, Sept 8, 11-12 PM Ice Cream Social. Ice cream sandwiches, along with the brochures created by Meky, and the fliers created by PR will be handed out
ii. Friday, Sept 12, 11-1 PM Open House in ASU. Must notify affiliates of this, so that they may attend. Also, Pizza will be the food served, should it be Mesa pizza, to distinguish us from other groups?
iii. Friday, Sept 19, 6-8 PM Goldy’s Game Night
iv. Friday, Sept 26, 7-10 PM, Karaoke Night in the Cube, pending room reservation
1. *This two Friday events will result in ASU board meetings to be moved to Sunday, 7:30 AM at Argyle House. GA meeting for Friday the 26th will remain at 5:30.
c. Oct 24, ideal date for the Halloween Social, from 7:30 onwards. Hold GA and board meeting at 5:30. If time does not permit, Board meeting will move to Sunday.
d. January 31, 2009. Ideal date for Winter Gala, location pending.
e. March 30- April 4 is Spring Conference Week!
f. One more volunteering event idea: Volunteer at “bridging”, located in Roseville and one other location.
VI. Sign Up for office Hours
a. 3 hours per board member, per week. Those that were unsure of schedules should get back to Andy ASAP.
VII. First board meeting of the year will be Friday September 5th, at 5:30 PM.
VIII. First GA meeting of the year will be Friday September 12th, at 5;30 PM.
