Project Title: Project Eat and Donate for Computer Room in University Village
Date: November 30 th, 2005

Project Justification: The project was initially to execute the Eat and Donate event but due to the University policy that do not allow any form of selling activity by students within the University grounds, major changes had to done on the project scope. After discussing with our sponsor, we decided to change our project scope to collecting printers from the University Village Residents as well as from any computer companies instead of raising money by selling bakeries. The idea to organize a donation event for a computer room came up because University Village (UV) recently built its own computer lab for its residents during the summer. The new computer room lacks scanning services and it is not better equipped compared to other in-campus apartments such as Wilkins and Yudoff Hall. The availability of an upgrade computer room would essentially help to induce a study environment for the students as well as to provide more advanced facilities for the benefit of the residents. We expect to collect as many usable printers from the University residents as many as possible and before the fall semester is over.

Product Characteristics and Requirements:
- Flyers and email: To inform and encourage residents to donate their printers
- Inquiry letter : A letter to be sent to companies asking if they would be willing to donate printers, scanners, etc
- Printers : In satisfactory condition and meets the sponsor’s expectation

Summary of Project Deliverables
Project management-related deliverables: Project Charter, scope statement, team contract, status reports, Work Breakdown Structure (WBS), schedule, status reports, final project presentation, final project report, lessons-learned report, and any other relevant documents required to manage the project.
Product-related deliverables:
- Survey : Observe the needs for more computer equipment for the computer lab
- Website : As a medium between group members and sponsor
- Gantt chart : This is to clearly lay out the time schedule for each tasks so as to meet the time constraint

Project Success Criteria:
The main goal is to collect as many usable printers as possible from the residents and meet the sponsor’s expectation both in scope and promotional aspects. It is also essential that we collect printers from at least one of the local computer companies too. The printers must be collected from the residents before fall semester is over.

Project Justification: The project was initially to execute the Eat and Donate event but due to the University policy that do not allow any form of selling activity by students within the University grounds, major changes had to done on the project scope. Kate, University Village Administrative Assistant proposed that we develop a detailed plan proposal to be presented to the University Resident Hall Board Management for further considerations. The idea to organize a donation event for a computer room came up because University Village (UV) just have its own computer lab for its residents during the summer. The new computer room lacks scanning services and it is not better equipped compared to other in-campus apartments such as Wilkins and Yudoff Hall. The availability of an upgrade computer room would essentially help to induce a study environment for the students as well as to provide more advanced facilities for the benefit of the residents. The overall budget for the project is $400 and as for the donation, we expect to raise a total of $700.

Product Characteristics and Requirements:
- Website : This would mainly be for our planning purposes and in dealing with our sponsor. The website would contain the up-to-date deliverables as well as progress of the project
- Plan proposal document : This is considered as our final output of the project to be presented to our sponsor.
- In developing the plan proposal, we need to discuss with our sponsor on from time to time as to meet their requirements.
- Thorough research and surveys has to be carried out to keep to the cost limit.

The main goal is to ensure that our plan proposal meets the sponsors’ expectations and that the outline is practical and realistic both in cost and promotional aspects. The sponsor also emphasized the importance of picking a suitable planned date of the project so as the $700 expected money raised is achievable. The proposal must be presented before the fall semester is over.

Project Justification: The idea to organize a donation event for a computer room came up because University Village (UV) apartment computer room still lack a lot of facilities in terms of printers and scanning devices. Other newer in-campus apartments like Wilkins and Yudoff Hall have far better equipped computer room than UV apartment. UV residents have no access to printing and scanning services and would therefore need to go the extra mile to get to the nearest in campus computer lab which is the Walter Library. The lack of good computer facilities in the University Village seems very ironic since it is one of the largest resident halls in the University.
The availability of an upgrade computer room would essentially help to induce a study environment for the students as well as to provide more advanced facilities for the benefit of the residents. The overall budget for the project is $100 and as for the donation, we expect to raise a total of $200. Besides raising money, the project would also be focusing on collecting old printers and scanners from residents.
Product Characteristics and Requirements:
- Website: This would help in promoting the event publicly to the University as well as informing and keeping the students up to date with the progress of the project
- Advertisements: This is essential to receive a good response from the public and to attract outsiders ( non-residents of the University Villages Apartment) and help us to achieve the project goals.
- A food permit must be filled out before we can sell the baked snacks on the University grounds and the food must be approved by the University Village Administrative Assistant.
- The food has to be homemade so as to reduce the cost of the project.
